The homes

These are sister / twin homes — essentially identical (same layout, amenities, and pricing). Anything true for one is true for the other, so listings, replies, and pricing stay mirror-matched across both.

Pricing — uniform across BOTH listings

Access — the system (consistent both homes)

  • Unit door — the two homes differ RIGHT NOW:
    9332 = Schlage smart lock, new code per arrival (e.g. Daneka = 1123); Schlage app = remote lock/unlock + who-entered. Give the door a small push (jamb).
    9312 = one fixed code for now (different from 9332's), until the front door is repaired — Sam installs the Schlage there when he's back, then 9312 matches 9332.
  • Walking gate: 1527#
  • QR passes = DRIVERS ONLY. Each driver needs their own vehicle-gate QR pass (legal name + license). Don't over-issue — confirm how many cars/drivers first (Daneka = 1 driver = 1 pass).
  • Names = registration only. Collect ALL guests' names to register the group on the reservation (for clubhouse access + having the guest registered). Non-drivers do not need a QR — just their name on file. Different last names get turned away at the clubhouse if they're not registered.
  • MILDRED Always register to the correct house (9312 vs 9332) — verify each booking.

🔑 Checkout & turnover — the core process (every stay)

This is the heart of running the homes — every checkout → turnover must hit all of this before the next guest:

  • MILDRED Calendar match: the cleaner's schedule MUST match the booking calendar — turnover lands in the gap between checkout (10 AM) and next check-in (4 PM). Flag any back-to-back that's too tight (then Natalie does in-home laundry, or takes some linens home).
  • MILDRED Cleaner timing: confirm WHEN Natalie will be at the door so turnover starts right after checkout.
  • Door codes are TIME-WINDOWED to check-in (4 PM). A code won't open before its start time — early arrivals can't get in until the window opens (today Daneka's worked at 4 PM, not before). If a guest pays for early check-in, move the code's start time earlier. Plus the backup process for when a lock stops working.
  • Condition photos: receive pictures of how the home looks on return — document condition / damage check at every turnover.
  • Inventory check: confirm towels + linens are all there, everything present and accounted for.
  • Laundry: professional high-temp laundry done; fresh ironed towels + linens out for the next guest count.
  • Starter kit out — EVERY home: set out properly — toilet paper, paper towels, kitchen essentials, the little first-use items — ready for arrival.
  • MILDRED Restock supplies: keep starter-kit consumables in stock — buy more as they're used so every turnover has them on hand.
  • Final QA: everything proper before the next check-in → then mark the turnover done.

Listing fixes

  • MILDRED Pets — set BOTH listings to allowed @ $125/night (Option B), specify max pets (e.g. 2), make them match exactly; service animals always free.
  • MILDRED Remove old-management wording — the "2.1 Maintenance" auto-message says "contact our maintenance team"; update to current setup (Natalie / Sam direct).
  • MILDRED Cleaner is now Natalie (Nathali Galvão Oliveira) — coordinate via WhatsApp Business (Portuguese; daughter translates).

The bigger picture — where this is going

The goal: both homes run themselves — steady bookings, Superhost status, strong reviews, real income — with Mildred managing the day-to-day and the system doing the heavy lifting. Roadmap:

  • Platforms: Airbnb (live) → add Hospitable.com (channel manager + automated messaging/turnover; card #104) → eventually the website taking its own direct bookings.
  • Smart home / remote control (cards #189, #032): Wi-Fi thermostat for pool heating with separate control of pool-heat vs spa-heat; smart locks (Schlage app — remote lock/unlock + who-entered notifications, already in use); Ring / camera update; thermostats; "fully smart everything" so it's controllable from anywhere.
  • One clean operating system: check-in → checkout → turnover → vendors → utilities → expenses, all tracked in one place (this portal). Mildred owns the run; Sam sees it all.
  • Vendors to complete the management: handyman + pest control (Natalie's contacts), the pool/spa separation, the smart-device buildout.
  • Mildred's calendar: bookings flow in automatically showing guest name + correct address, everything connected — a full working portal, not a static page.
