Gmail Labeling Audit — Retroactive Label Plan + Filter Rules

Companion to gmail-delegation-mildred-access.md. This is the EXECUTION runbook
for retroactive labeling — the delegation HOW-TO assumes labels already exist.

Honest answer first

Based on the Apr 24 inbox sweep:

• Volume of mail to label is meaningful but not crazy — most of it can be done with FILTER RULES that catch by sender domain
• Hand-labeling needed only for ~20–30 specific historical threads
• Total time to execute: 45–60 min one-time
• Going forward, filters auto-apply — zero touch

Critical update from audit (already reflected)

Asher status moved late Apr 24 PM:

• 4:50 PM: Sam sent the urgent email
• 4:52 PM: Mildred CC'd, Orlando Law engaged directly with payment plan request
• 4:56 PM: Asher: "Call me now"
• 5:01 PM: Asher: "You can connect directly w my client. No issues. Keep me looped."

Implication: OPERATIONAL HOA payoff threads where Mildred is now CC'd → MILDRED/Property.
STRATEGIC Asher-only correspondence (his "Call me now," any negotiation tactics) → SAM-ONLY/Legal.

Part 1 — Filter rules to create (one-time, 15 min)

Set in Gmail Settings → Filters and Blocked Addresses → Create new filter. Each filter does the work of labeling hundreds of past + all future emails.

Filter 1 — Legal (Asher's firm + Orlando Law)

• Apply label: SAM-ONLY/Legal
• ☑ Also apply to existing matching conversations

These won't get auto-caught cleanly. Hand-label.

Eden Gardens — Operational vs Strategic split (~15 threads)

• Label: SAM-ONLY/Legal (privileged-adjacent)
• Apply once, never relevant again

Calendar / DMV / Traffic ticket threads

• Subject contains "Accepted:" + Chanie sender
• Label: MILDRED/Calendar (Mildred handles routing)

Sam-to-Sam testing emails (Feb 3)

• "testing 3" / "testing email" to Chanie
• Just delete these, no label needed

Part 3 — Positive-scope labels for Mildred (10 min)

Apply MILDRED/* labels to threads she SHOULD focus on:

MILDRED/Property — apply to:
- All threads with hoapayments@orlando-law.com / service@orlando-law.com where Mildred is CC'd (the new Apr 24 ones)
- All vendor threads: Alex, Parker, pool service, lawn care, utility companies for 9312/9332
- Future Airbnb operational emails

MILDRED/Admin — apply to:
- 20four7VA invoices/billing
- Subscription confirmations she should track (Tello, etc.)
- Honda Financial Services if she pays it (you decide)

MILDRED/Calendar — apply to:
- All calendar invites (let her manage routing)

MILDRED/Clients-Admin — apply to:
- Eden Gardens routine billing emails (Inv 20025, 20027, 20029, 20028 admin threads)
- Jessica Gunner correspondence (AP-level)
- Future client billing

Part 4 — Order of operations

1. ☐ Create labels in Gmail (5 min):
   - SAM-ONLY (parent) + /Legal, /EG-Internal, /Personal, /Finance, /Drafts-System
   - MILDRED (parent) + /Property, /Admin, /Calendar, /Clients-Admin

2. ☐ Create the 7 filters above (15 min)
   - When creating each, CHECK "Also apply filter to matching conversations"
   - For Filter 5 + 6 (bank alerts): CHECK "Skip Inbox"

3. ☐ Manual review pass (15 min):
   - Search: from:eli@steinhardtbuilders.com → review the ~10 threads → confirm labels look right
   - Search: lennar OR lennartitle → bulk-select → label SAM-ONLY/Legal
   - Search: subject:"Accepted:" → bulk-label MILDRED/Calendar
   - Spot-check a few SAM-ONLY/Finance threads — confirm not over-capturing

4. ☐ Test (5 min):
   - Send yourself a test email with subject [HOW-TO] test — confirm filter applies

5. ☐ Grant Mildred delegate access (per gmail-delegation-mildred-access.md, Step 4)

6. ☐ Send Mildred Purview Memo (separate doc to write)

7. ☐ Tuesday sync: walk her through the labels live

Estimated coverage after execution

• ~95% of historical sensitive emails auto-labeled by filters
• ~5% manually labeled in the review pass
• 100% of future emails auto-labeled
• Mildred has clean view: anything UNLABELED + anything MILDRED/* = her zone
• Anything SAM-ONLY/* = invisible to her per honor system (per Purview Memo)

What this does not cover

• Threads where YOU are the only sender to multiple parties — judgment call per thread
• WhatsApp / iMessage / phone — separate question
• Google Drive sharing — separate setup (mirror this purview structure with Drive folder permissions)
• Calendar — Google Calendar has its own sharing model; Mildred should get full read/write on your primary calendar with private-event flag for sensitive

Done state

• Labels created
• 7 filters live, applied retroactively
• Manual cleanup done
• Mildred has delegate access
• Mildred has the Purview Memo
• Tuesday walk-through scheduled
• Going forward, system auto-maintains scope
