PURPOSE

Defines what Mildred owns, flags, and never sees. Frames Mildred's role as a 3-layer model — not bright-line "zones you can't look at." Bright-line zones fail because they make Mildred hyperaware of off-limits content and demoralize; structural enforcement plus explicit flag-authority works better.

OPERATIONAL SURFACE (what Hook Street actually runs)

LAYER 1 — OWN (executes without asking each time)

STR Properties (9312 + 9332 Somerset Hills, Davenport FL)

• Reimbursement cadence (ongoing — NOT a close-out). Every time HSC 1260 pays a 9312/9332 vendor bill, Mildred logs it in the STR reimbursement ledger → initiates Zelle transfer from the property LLC → reconciles balance. Weekly muscle.
• Vendor coordination: Alex (soffit/fascia/pool), Parker backup-vendor research, Central Florida Pool & Spa, PestBear, Apex HVAC (407-660-9644) / Patriot HVAC (863-956-6130), cleaners (Luciana / Kelma, Turno rotation)
• Utilities tracking: Toho Water, Duke Energy (amounts from zalmy@ bills), PSEG, Spectrum — know amounts, flag anomalies
• Airbnb listing + bookings portal: listing visibility checks, pricing nudges on Sam's signal, Turno rotation, calendar hygiene
• HOA routine (NOT the current Orlando Law / Di Masi Burton legal matter — that stays with Sam + Asher)

Hook Street Services Site

• info@hookstreetservices.com routing (when alias configured)
• Inbound lead triage — respond to simple inquiries, flag consulting leads to Sam

Consulting Client Administration

• Invoicing (on Sam's instruction)
• Scheduling client calls

Transport A/R Collections — DORMANT

• A/R cleared as of 2026-04-24. No active collections workload.
• If new transport engagements arise later: Mildred picks up invoicing + A/R tracking on the 1xxxx prefix.

Obligations Tracking

• Pull BOS weekly snapshot every Monday
• Verify autopay fired on all scheduled obligations
• Surface misses to Sam same-day

Calendar Routing

• Route meeting requests, propose times, confirm/reschedule
• Protect Sam's no-fly zones: Shacharis (Amud) 8:55–10:10 AM EDT daily · Mincha/Maariv (7:15 PM EDT) · Shabbos · Yom Tov

Weekly Rollup to Sam

• Every Thursday or Friday EAT: Mildred sends "done / open / blockers" email
• This rollup IS the consolidation artifact. Until the Command Center dashboard ships, her email is the cross-system view.

LAYER 2 — FLAG / REMIND (sees, surfaces to Sam, does NOT execute)

• HOA / legal — Asher Gulko threads, Orlando Law (hoapayments@, service@, collections@), Di Masi Burton correspondence. Flag deadlines, remind Sam to act. Never reply directly.
• Eden Gardens strategy — threads from Eli Steinhardt, Huvie Steinhardt that feel strategic (not invoicing). Flag movement, surface, don't engage.
• Financial-strategic items — Rocket Money rollout, tax/Dena Fischer timing, card-utilization paydown order, mortgage refinancing discussions.
• MIS anomalies — if a Power Hour or Trade Action email looks broken/missing, flag. Doesn't diagnose.
• Schedule conflicts — if something collides with Chanie's trips, family events, or Sam's mourning period (through June 2026), flag.
• Camps status (Boys Day Camps, Camp Agudah, Camp Libby) — remind Sam if amounts still missing from OBLIGATIONS.md.
• Autopay / card-util watch — any utilization spike or autopay decline → flag immediately.

LAYER 3 — OFF-LIMITS (structural, not behavioral)

Enforcement is architectural — Mildred never sees these because they're not in the inbox she logs into.

• Sam's drafts operating system: [HOW-TO], [DECISIONS-PENDING], [OPEN-LOOPS], [EG-CONTEXT-PACK], [CLAUDE CODE], session-handoff drafts

• Anything else Sam tags as private during the day

IMPLEMENTATION

Email architecture

• sam@hookstreetcapital.com = operational, shared with Mildred via Gmail Delegate Access
• zalmy@treitelventures.com = Sam's private ops email, no Mildred access, all drafts system lives here
• Configure forwarding + filters per Gmail filter rules above

Delegation setup

Use Gmail Delegate Access (Settings → Accounts and Import → Grant access). She logs in as herself, opens Sam's mailbox in a separate view. 2FA stays intact on Sam's account; she cannot change password or 2FA. Revocable in one click.

Reference: the existing [HOW-TO] Gmail Delegation + Forwarding + 2FA draft (thread 19dc13e84bd4eb1e) covers setup steps, but its "Option A — honor system" recommendation is OBSOLETE per this spec. Use structural enforcement (filter-to-zalmy@) instead of honor-system for sensitive categories.

WEEKLY RHYTHM

Sam is NOT available for a live call at 7:30 AM EDT. Email from Mildred landing in that window is the async channel; Tuesday 10:30 AM EDT is the live sync.

ONBOARDING (Tuesday walk-through, 30 min)

1. Show Mildred how to open Sam's mailbox via delegation
2. Walk Layer 1 items live — point at Airbnb, the reimbursement log, the BOS weekly snapshot, the consulting admin queue
3. Walk Layer 2 — what flag/surface looks like in practice, using real recent examples
4. Confirm weekly rhythm + live-sync time
5. Set expectation: when ambiguous, ASK.
